How to Create and Manage SKU Templates

Effective inventory management starts with well-organized SKUs (Stock Keeping Units). By using Master SKU Templates in Flawless POS, you can streamline the creation of new products during processes like creating a new product. This guide will walk you through how to create SKU templates for different product types and apply them efficiently.

How it works

Flawless POS allows you to auto-generate SKUs using SKU Templates. This ensures consistency in SKU formatting for various item categories, such as rings, earrings, or bracelets. By setting up unique templates for different item types, you can quickly create organized SKUs, which simplifies product management across your inventory.


Before you start

Before creating Master SKU Templates, make sure that:

  • You are logged into Flawless POS with the required permissions to create or edit SKUs.

  • You have a clear understanding of your product categories and how you want to structure and organize your SKUs: It’s essential to pre-plan your SKU structure to ensure consistency across your inventory. Think about how your products are grouped into categories (e.g., Rings, Bracelets, Earrings) and their unique attributes such as size, color, material, or style. This understanding will allow you to: 

  1. Set up intuitive and logical SKUs that help with quick product identification. 

  2. Maintain an organized inventory that simplifies stock management and reordering processes.



Step 1: Navigate to the SKU Template Creator

  1. From the Flawless POS, go to the Product List module by selecting it from the left-hand navigation menu.

     

  2. Once inside the Product List module, click on the 3-dotted icon located on the top-left of the grid and select Create New Product.  

    Note: SKU Templates are accessible in any module that has the Create New Product button available. Examples of these is from the creating a new product from the Merchandise Receive module, Product List module, and Adding a new In-stock product from the Point of Sale module, 

 


Step 2: Create a New SKU Template

  1. To create a new SKU Template, tick the box located below the SKU field. This allows the SKU to be auto generated.

  1. Click on the 3-dotted icon located right beside the SKU field and select on Add New Item.

  1. After selecting the option to create a new SKU template, the next step is to customize it by defining the SKU name and short code. These fields are useful for organizing your inventory and ensuring that each product is easily identifiable.The SKU short code is used in various areas of the system, such as during the Merchandise Receive process or in sales transactions, to quickly reference products. It saves time compared to typing out full product names, especially when managing a large inventory.



Step 3: Save the Template

  1. The rest of the fields also have their own different purposes:

  • SKU Number / Seed Length: this defines the length of the generated SKU 

  • Default Product Title / Name: the default name given for the product (E.g. 18k White Gold Diamond Ring)

  • Default Types: the type being used for the SKU template

  • Default Categories: the category in which the SKU belongs to (E.g. Ring, Bracelet, Earrings) 

  • Default Materials: The materials used for the given product

  • Default Retail Markup %: the default retail markup price for the product

  • Default Wholesale Markup %: the default wholesale markup % for the product

  • Vendor: Select the vendor in which the product belongs to

  • Class: the type of class that the product belongs to (E.g. Asset)

  • Product Line: the collection in which the product belongs to 

  • Metal: The types of metals that were used for the product

  • Stone Type: The types of stones that were used for the product

  • Style Type: The style that was implemented for the product(E.g. Pendant,Chain, Brooch)

As soon as you’ve finished setting up your SKU template, click OK to save the template and store it for future use.

  1. You can create multiple SKU templates for different product categories, ensuring that each type of product has a unique, yet consistent SKU format.



Step 4: Applying the SKU Templates During Product Creation

  1. When you are creating new products, you will have the option to use the Auto Generate SKU feature.

  2. Click on the Select From List button on the 3-dotted icon right beside the SKU field to choose the appropriate SKU template.

  1. This auto-generated SKU will follow the format that has been specified in the template, ensuring that new products are properly categorized.

You’ll notice that the SKU has been auto generated to match the master SKU template along with the different tags such as the categories and materials
