Automation Workflows: Streamline Customer Engagement

The Automation Workflows feature in Flawless POS is a versatile tool designed to automate customer communication and engagement. By setting up customized workflows, businesses can send timely and relevant messages to their customers, boosting engagement and driving conversions. In this article, we’ll walk you through the key functionalities and customization options available within the Automation Workflows module.


How It Works

Automation Workflows allow businesses to define triggers and actions that initiate specific customer communication tasks. For example, you can automate emails after an online cart has been abandoned or send follow-up messages after a customer’s purchase.


Step 1: Accessing Automation Workflows

  • Navigate to the Automation Workflows tab under the Communication module in the POS Admin.

  • Here, you will see a list of existing workflows, their triggers, and statuses.


Step 2: Creating a New Workflow

  • Click the Add Workflow button to start a new automation.

  • Enter a relevant Workflow Title to easily identify its purpose (e.g., "Don't Miss Out: Your Cart is Waiting for You!").




Step 3: Trigger Configuration

  • Select When does the workflow starts by defining a timeframe (e.g., 2 days after a cart is abandoned). For this example, we'll be setting the workflow to start 1 minute after a cart is abandoned.

  • Choose from a variety of trigger options, such as:

    • After an online cart has been abandoned.

    • Thank-you follow-up after a customer’s purchase.

    • Before a customer’s birthday or anniversary.

    • Additional purchase suggestions.

  • Customize the timing to fit your engagement strategy.



Step 4: Workflow Options

  • Specify the Reply To Address for customer responses.

  • Define the Send From field (e.g., Last Salesperson,Store Name, or a predefined account).

  • Optional features:

    • Include a Discount Code to incentivize action. Enabling this allows you to input a percentage-based discount code.

    • Include a link to leave a review to gather customer feedback. by including a Google Review Link. This encourages customers to share their experiences

      • If you need to update the review link, click Update Review Link. This opens a dialog to view or modify the current Google Review Link.

      • Selecting Change It will guide you through locating your Google Place ID, which you can paste into the provided field to finalize the update.




      • Once Updated, customers will be redirected to your Google Reviews Page when clicking the review Link.


Once all details are entered, click Next to proceed to the workflow message.


 


Step 5: Workflow Message

This step enables you to configure the email's subject line and message content.

Options Available:

  1. Dynamic Subject (Using AI):

    • Create a customized subject line for your workflow emails. You can either enter it manually or generate it using AI.

      Key Details:

      • Dynamic Subject: Personalize your email subject line for increased engagement. Use AI for automated suggestions or manually input your desired subject.
      • Generate Message Using AI: Leverage AI to craft the entire message content dynamically.


        Note
        : Generating a unique subject and message body with low-frequency emails will increase the inbox delivery rate of these messages. Typical cost $0.005 - $0.006 per subject generated. 
  2. Generate Message (Using AI):

    • Automatically create the email's message body using AI for dynamic and engaging communication. 

      Key Details:

      • AI-Generated Messages Only: Currently, only AI-generated messages are supported. Manual creation of message bodies is not available at this time.
      • Sample Previews: Clicking the Show Samples button displays examples of AI-generated messages, giving you an idea of how the final content will look.

        Note: Generating a unique subject and message body with low-frequency emails will increase the inbox delivery rate of these messages. Typical cost $0.01 - $0.02 per message generated. 





Step 6: Review and Finalize

  • Once all details are entered, click Save & Close to finalize and activate the workflow.

  • Enabled workflows will display in the main Automation Workflows list with their statuses.
