The Message Templates feature in the Communications module of Flawless POS allows you to create and manage various templates for emails and texts. These templates streamline communication with customers, ensuring consistency and professionalism. For this article, we'll focus on creating Email and Texting templates under the Services tab.
Step 1: Access the Message Templates Section
- Navigate to the Store Messaging tab under the Communication module in the POS Admin.
- Select the Message Templates tab from the top menu.
- You'll see multiple sub-tabs, such as Retail, Wholesale, Web, Marketing, Vendor, Components, Services, and Common. For this article, we'll focus on creating a Service Job to notify our customers about the status of their Service Job in the Services tab.
Step 2: Add a New Template
- Click the "Add Message Template" button.
- From the dropdown menu, select "Add Email Template".
Step 3: Fill Out the Template Details
- Template Name: Enter a unique name for your template.
- Template Type: Choose between Transaction or Marketing, depending on the purpose of your email.
- Template Area: Select Services to categorize the template properly.
- Sub Area: Choose from options such as Account, Product, Memo, or Services based on the specific use case.
- Description: Provide a brief explanation of the template's purpose.
After filling out all the necessary details, click on Next.
Step 4: Customize the Text Body
- Message Subject: Enter the Subject header for the email.
- Header Template: Select from a list of available templates using the dropdown field.
- Footer Template: Similar to the Header Template, select a template from the dropdown field.
- Design the email body to ensure clear and visually appealing text. Below is an example of an email body template that informs customers about an update to the status of their service job:
Note: The content inside the {{ }}
brackets are called placeholders. These placeholders are dynamically replaced with actual values when the email is sent. For example, {{JobNumber}}
will be replaced with the specific job number associated with the customer’s service, and {{to}}
will be replaced with the customer’s name. This ensures that each email is personalized and contains accurate details relevant to the recipient.
- Once you're satisfied with your template, click the Save & Close button. This will save your work, allowing you to use the template anytime you need to update your customers on the status of their service jobs.
Step 5: Managing Your Service Job Template
Once your new service job template is created, you can perform several actions by clicking the three-dotted button next to the template name. These options include:
- Edit: Make changes to the existing template.
- Copy: Create a duplicate of the template.
- Send Test: Test the template by sending it to a specific email address.
- Delete: Remove the template if it is no longer needed.
For this example, we’ll be testing the template to ensure it works as intended. Click on the Send Test option and enter a valid email address to preview how the template will look when sent to customers. This step ensures that all placeholders (e.g., {{JobNumber}}
, {{SiteTitle}}
) are formatted correctly and display the expected content.
