If a customer has a floating credit or remaining balance on their account that needs to be refunded to their credit card, you can process this directly through the Sale Module using a custom line item. This method ensures both the customer credit and card payment balance out to zero.
Steps to Return a Customer’s Credit:
Open the Sale Module
Go to Point of Sale -> Create Sale.
Select Custom Line to add a generic line item.
Add a Custom Line
Leave the Price as
$0.00.You don’t need to fill in any other details.
Click OK to add the custom line to your cart.
Go to Checkout
Choose Customer Credit as the first payment method.
Enter the amount you want to refund (this will deduct the amount from their customer credit balance).
Add the Credit Card Refund
Select Credit Card as the second payment method.
Enter the same amount as a negative value (ex.
-400.00).This negative value represents the refund being issued to the card.
Ensure the Transaction Balances
The customer credit and credit card refund should total $0.00 before finalizing.
Submit the Sale
Click Submit Sale.
The system will record the refund, decrease the customer’s credit, and issue the refund on the credit card.
Example Use Case:
You have a customer with a $400 store credit who wants it refunded to their credit card. By following the steps above, the system reduces the customer credit by $400 and records a $400 refund transaction on the customer’s card.
Notes:
Always verify that the credit card on file is valid and active before processing.
The Customer Credit balance should decrease by the refunded amount.
The Credit Card payment line should show the transaction as a negative (refund) entry.
