BIG Integration with Flawless POS

The BIG integration allows Flawless POS users to sync sales and inventory data seamlessly with the BIG system. This ensures accurate reporting, vendor management, and enhanced operational efficiency.


Configuring BIG


Step 1: Accessing BIG Configuration

To set up the BIG integration, follow these steps:

  1. Navigate to Store > Admin > Apps.
  2. Locate the BIG integration and click on the three-dotted button in the top-right corner.
  3. Select Update Configuration to open the setup window.




Step 2: Setting Up BIG Account ID

  • Enter your BIG Account ID in the designated field.
  • This ID must be retrieved from BIG directly. You can obtain it by visiting BIG Jewelers.



Step 3: Configuring Data Sharing Options


Including Customer Details

  • By default, only the Customer ID and Zip Code are shared.
  • Checking the "Include Customer Details" option allows the sharing of full customer information, including names, email, phone, and addresses which isn't recommended.




Vendor Selection

The Excluded Vendors and Included Vendors fields allow you to control which vendors’ sales and inventory data are shared. These fields are mutually exclusive, meaning:

  • If both fields are left blank, all vendors will automatically be included in the shared data.
  • If you add vendors to Included Vendors, only those vendors will be included.
  • If you add vendors to Excluded Vendors, all vendors except those listed will be included.

When to Use Each Field:

  • Use Excluded Vendors when you want to include all vendors by default but need to exclude specific ones.
  • Use Included Vendors when you only want to share data for specific vendors and exclude all others.

For example:

  • If you leave Included Vendors blank, all vendors will be included. But if you add Vendor A to Excluded Vendors, all vendors except Vendor A will be shared.
  • If you add Vendor A and Vendor B to Included Vendors, only those two vendors will be included in the shared data.

   

This setup ensures you have full control over which vendor data is included in the BIG integration with Flawless POS.



Viewing Sample File & Shared Data

  • Clicking "See a Sample File" downloads a JSON file that previews the format of shared data.
  • Clicking "What data will be shared?" opens a detailed breakdown of sales and inventory data. (Refer to the second screenshot for reference.)


Understanding Shared Data

Sales Data

  • All completed sales from the last calendar month will be shared.
  • Incomplete sales, such as layaways or special orders, will not be included until finalized.
  • Key data points include:
    • SKU, Serial Number, Vendor Name, Category, Price, Unit Cost
    • Salesperson details, Discount, Asset Memo, Metal Type, and more.
    • If "Include Customer Details" is selected, personal details like Customer Name, Email, and Address will also be shared.


Inventory Data

  • Only in-stock products, purchase orders, or items from the shared sales list will be included.
  • Key data points include:
    • SKU, Vendor SKU, Serial Number, Category, Quantity On Hand, Price
    • Metal Type, Stone Type, Stone Color, Cert Number, and more.


Finalizing Configuration

Once all settings are configured:

  1. Click OK to save changes.
  2. Once the configuration is set, an automatic schedule will be created to send information to BIG periodically. To verify the schedule, head over to the Scheduler List.
