How to Send an Account Aging Statement and Open Memo Report

In this article, we’ll cover the process of locating and sending the Account Aging Statement and Memo Report using Flawless POS.

Step 1: Access the Wholesale Account Module

  1. Open the Wholesale Accounts menu from the left navigation panel.

     

  1. Select the Wholesale Account for which you’d like to send an Account Statement or Memo Report. In this example, we’ll use the account named Jov.

     


Step 2: Navigate to the Statements Tab

  1. After selecting the Wholesale Account, click on the Statements tab.

  2. In this tab, you will see two options:

    • Account Statement wherein you can check the Account Statement Options,  All Account Statement Options, and Send an Account Statement via email.

    • Memo Report wherein you can check the Memo Statement Options, All Memo Statement Options, and Send a Memo Statement via Email. 


Step 3: Send the Account Aging Statement

  1. To proceed with sending the Account Statement, click on the three-dotted button next to the Account Statement option.

  2. In the opened context menu, you will have three options:

    • Edit Account Statement Settings: Adjust settings like file format and data range for the current Wholesale Account.

    • View and Edit All Wholesale Accounts: Opens a grid displaying all accounts where you can manage each account’s statement options by clicking on the three-dotted button.

    • Send Account Statement: Allows you to initiate the email process for sending the statement.

  1. Select Send Account Statement. This will open the Build Message dialogue, where you can:

    • Configure the email template.

    • Ensure the recipient's email is correctly entered.


  1. Once satisfied with your settings, press Send.




Step 4: Send the Open Memo Report

The process for sending the Memo Report is the same as the Account Statement:

  1. Click the three-dotted button next to the Memo Report option.


  1. Follow the same steps to send the report.

  2. Heading back over to the Statements Tab, you’ll be able to see both the Account and Memo statements that you’ve created in the grid.
