How does Flawless POS handle sold-out items, and how can I toggle products offline when out of stock?

When a product reaches a quantity of 0, its online availability depends on the Allow Order When Not in Stock setting in the product’s Sales Channels tab. This allows you to control whether customers can still order an item that is out of stock or whether it should be restricted from purchase. 


  • If Allow Order When Not in Stock is disabled, the product will show as Sold Out and cannot be purchased online.

  • If enabled, customers will still see the product available for special order.


Note: The system does not automatically toggle products offline when they reach 0 quantity. You’ll need to manage visibility manually or use a bulk import to adjust settings.



How to Manage the “Allow Order When Not in Stock” Setting:

  1. Go to the Product Module and open the desired product.

  2. Click the Sales Channels tab.

  3. Under Options, locate the setting:

    • Show Product Online

    • Allow Order When Not in Stock

  4. Toggle the slider on or off based on your preference.

  • OFF (Disabled): The product displays as Sold Out with a “Notify Me” button  and cannot be purchased. 

  • ON (Enabled): The product remains visible and can be ordered as a special order.


Bulk Updating Out-of-Stock Toggles:
You can bulk toggle multiple products using a CSV upload in the Product List Module.

  1. Prepare a CSV file with two columns:

    • SKU

    • Toggle (1 = ON, 0 = OFF)

  2. Upload the file via the Import Excel/CSV option.

  3. When mapping columns, link the Toggle column to:

    • Allow Out Of Stock Order

  4. The system will automatically update the toggle setting for all SKUs listed.
