The House Account, also known as a Warehouse Account, is a special type of wholesale account designed for internal inventory handling. Unlike regular wholesale accounts tied to external buyers or resellers, House Accounts are typically used for internal transfers, dropship orders, or inventory segregation. They are essential for maintaining clarity between customer-owned goods and stock held for internal or logistical purposes.
Why Use a House Account?
A House Account allows you to:
Separate warehouse stock from customer orders.
Allocate and manage inventory internally without affecting general availability.
Create memos, jobs, proposals, and invoices for internal purposes.
Track and organize repairs, transfers, or fulfillment needs that are not tied to external sales.
How to Create a House Account
Creating a House Account is easy within the Wholesale Module:
Navigate to the Wholesale Module.
Click Add Account (located in the top-left corner).
Under Account Type, select House Account/Warehouse.
Enter the necessary details:
Display Name
Customer #
Account Manager
Sales Person
Click Add Fulfillment Location to assign where items can be pulled from for allocations.
These are the inventory locations that wholesale sales reps can use.
Note: Admin users have access to all allocation sources regardless of selection.
Click OK once everything is filled in.
Example: Creating and Receiving Stock via House Account
Once your House Account is set up, you can begin using it like a regular wholesale account with a few internal-use perks:
Step 1: Add a Memo
Head to the Memo tab and click Add Memo. This allows you to move products into the House Account, which updates its inventory balance.
Step 2: View Current Stock
After the memo is created, the Total On Hand at the top of the account view will reflect the new inventory total.
Step 3: Create Internal Orders
In the Orders tab, you can create internal sales orders from proposals or other existing Sales Order. These transactions will show up under the order history for full traceability.
Example 2: Receiving Merchandise to a House Account
If you need to receive inventory and automatically create a memo under a house account, follow these steps:
Step 1: Navigate to the Vendor Module
Go to the Vendor section from the left-hand menu.
Select any vendor from the list.
Click on the “Received” tab, then hit the “Receive Merchandise” button.
Step 2: Set Up the Merchandise Receive
For Receive From, choose Simple Merchandise Receive.
In the Receive To field, select the desired House Account.
Note: A new memo will be automatically created for the selected account once submitted.
Fill in the rest of the necessary fields, including the description, vendor, inventory type, intake reason, and receiving details.
Click Next to proceed.
Step 3: Add the Items
On the Review screen, enter the items you’re receiving.
Confirm the quantities, cost, and any applicable duty.
Once done, click Complete.
Step 4: Verify the Memo
Go to the Wholesale Accounts section and locate the house account you selected.
Under the Memo tab, you’ll now see that a new memo has been created with the received items.
This memo is automatically linked to the MR you just completed.This is useful when managing house-owned inventory and ensures proper tracking through automated memo creation.
